What is a report?
A report is a piece of writing based on facts and descriptions, and produced after investigation, search inquiry, study and through observation. An individual involved in a particular organizational activity-may it be an academic institute or administrative unit, a hospital or firm, a business house or an industrial plant must have the ability of preparing a report. You must be either involved or going to be professional, you may be inquired to report the activities that you perform or that are performed under your guidance. Therefore, you must develop the skill of writing a report.
Why a report?
Reports provide authentic and essential information and statistics about the functioning, activities, progress, time-schedules, investment required and made, necessities , provisions, situation, incident etc. Only if you know the existing condition of an organization, you can step forward for its betterment, Reports, through their factual informative message, provide the black and white picture of a particular organization and activate the concerned to an immediate action. Therefore, reports are important to help you know the existing situation-what is going on and what has happened and the steps taken to improve it.
Reports may vary depending on different activities, their nature and purposes.
Kinds of reports
Reports are of two kinds depending on the length, duration of preparation and gravity of subject matter. They are long and short reports. These reports do differ not only in length but in purpose, scope, format, time, report-writer. and the recipient. Both of these reports supply necessary information to help an institution, organization, company, big industrial plants and even major administrative and governmental procedures and plans function properly.
